Workflow redesign is rebuilding a business process around what AI does well, instead of bolting a model onto the process you already had. It’s the capability that decides what gets automated, what stays with people, and where each control point goes.
What it includes
- Map the real process (not the one in the manual) and measure time, cost and error rate per step.
- Separate the steps AI handles well from the ones that need human judgement.
- Redesign the flow with control points (human-in-the-loop) where risk demands it.
- Define the agent–person hand-off: what escalates, when and to whom.
When you need it
- You have AI pilots that work in a demo but move no business number.
- You automated a task and the savings got eaten by the work of reviewing the output.
- The process has several steps and nobody knows where the real bottleneck is.
How it’s measured
- End-to-end process cycle time (before vs. after).
- Share of cases that finish with no human intervention.
- Cost per case processed, including the cost of review.
Common mistakes
- Automating the process as-is: you inherit the waste, just faster.
- Having a human review 100% of outputs "just in case": it kills the entire saving.
- Redesigning on paper without measuring the real process before touching it.
FAQ
- Is workflow redesign the same as automation?
- No. Automation runs a process; redesign decides what that process should be before you automate it. Automating without redesigning tends to speed up the waste rather than remove it.
- Where do you start when redesigning a workflow?
- By measuring the real process: time, cost and error rate per step. Without that baseline you can’t know what to automate first, or prove the return afterwards.
